2. What Data We Collect
We collect personal data only when you choose to give it to us, primarily through our quote enquiry form, by email, or by phone. This typically includes:
- Your name
- Your email address
- Your phone number
- Your postcode and, where you supply it, your full address
- The service you are interested in and any project details you share
- Any further information contained in messages you send us
We also automatically receive limited technical data when you visit the site (e.g. IP address, browser type, referring URL) via our hosting provider. This is held for security and reliability purposes only.
3. How We Use Your Data and Our Lawful Basis
We process your personal data under the UK GDPR on the following lawful bases:
- Consent — when you submit our enquiry form and tick the consent box, so we can respond to your enquiry and provide a quote.
- Performance of a contract — once you become a customer, to design, install, and support the system you have purchased.
- Legal obligation — to comply with regulatory, accreditation (MCS, RECC, TrustMark, NAPIT), tax, and consumer-protection requirements.
- Legitimate interests — to keep our website and customer records secure, to defend our legal interests, and to operate our business efficiently. We have balanced these interests against your rights and only use this basis where the impact on you is minimal.
4. Who We Share Your Data With
We do not sell your personal data. We share it only with the following categories of recipients, where necessary:
- Form submission processor — Formspree (Formspree, Inc., USA) processes the contents of our enquiry form and forwards it to our inbox. Their privacy notice is at formspree.io/legal/privacy-policy.
- Hosting and content delivery — Cloudflare, Inc. hosts this website and provides security, caching, and traffic-protection services. Their privacy notice is at cloudflare.com/privacypolicy.
- Email and productivity tools — we use standard business email and document tools to manage enquiries internally.
- Manufacturers, finance providers, and accreditation bodies — only when needed to deliver your project (e.g. for warranty registration, finance applications, or MCS certificate issuance) and only to the minimum extent necessary.
- Professional advisers and authorities — where we are legally required to disclose data.
Where data is transferred outside the UK (e.g. to Formspree or Cloudflare in the US), we rely on the providers' UK / EU GDPR transfer mechanisms (Standard Contractual Clauses or equivalent).
5. Cookies and Tracking
This website does not currently set marketing or analytics cookies. The site may use a small number of strictly necessary cookies provided by our host for security and to remember session-related preferences; these do not require consent under the Privacy and Electronic Communications Regulations.
If we add analytics or marketing tools in future (for example Google Analytics or a remarketing pixel), we will update this policy and ask for your consent first via a cookie banner.
6. How Long We Keep Your Data
We retain personal data only as long as we need it for the purposes set out above:
- Enquiries that don't proceed: up to 24 months, then deleted.
- Customer records: for the duration of our contract with you, plus the lifetime of any guarantees and warranties (typically up to 10–25 years for product warranties), plus 6 additional years for tax, accounting, and legal purposes.
- Accounting and statutory records: 6 years from the end of the relevant financial year, in line with HMRC requirements.
7. Your Rights
Under the UK GDPR you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data, where the lawful basis permits
- Restrict or object to certain processing
- Withdraw consent at any time, where consent is the lawful basis
- Data portability, in a structured, commonly used format
- Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113
To exercise any of these rights, please email info@mjrenewables.com. We will respond within one calendar month.
8. How We Protect Your Data
We use HTTPS across the entire website, restrict access to enquiry data to staff who need it, and review our processors' security practices on an ongoing basis. We never share your data on social media or with marketing lists.
9. Children
Our services are aimed at homeowners, businesses, and other organisations. We do not knowingly collect personal data from anyone under the age of 18 through this website.
10. Changes to This Policy
We may update this policy from time to time to reflect changes in our practices, in our suppliers, or in the law. The date at the top of the policy will be updated when we do. Material changes will be made obvious on the site.
